This Privacy Notice explains how personal information is going to be used, what for, who it will be shared with and why.

Why we collect and use personal information about you

We collect and hold personal and sensitive information relating to MRS Lone Working service

We use this information to:

  • Provide you with necessary and appropriate services;
  • To enable us to provide an appropriate and proportionate response to any contact you make with us;
  • Help us to develop and improve our services

We process personal data because it is necessary to enable us to understand how best to assist you and to be able to give the emergency services a description of you in the event that your manager finds this necessary.

What Personal Data do we collect about you

Your name, team/company, contact details, Your manager’s name and contact details.

Who we share your personal information with

We will share data with your designated contacts and we may under exceptional circumstances share them with the emergency services.

We will allow access to the database on which we store your data to our equipment suppliers. This is for the purposes of maintaining the smooth functioning of this information technology equipment. We would also allow access to the data stored in the equipment to analyse the history of incidents you may experience. This latter analysis will only be undertaken if you or your manager request it; for us to investigate any complaint or where this is requested for legal purposes to protect your rights.

How long will we keep your information?

We will only keep your information for as long as we need to, so we can give you the service you need, unless we must keep it for legal reasons. Data from the Lone worker devices will be kept only for 31days and will then be deleted from the software. We will keep details of call handling for two years and up to 7 years for contractual information.

Your Rights

You have the right to:

  1. Ask to see the personal information we hold about you (also known as a Subject Access Request)
  2. Withdraw consent – although this would lead to us terminating your contract if we were no longer able to offer the service;
  3. Ask us to change information we hold about you if it is wrong
  4. Ask us to delete the information we hold about you
  5. Ask us to limit the way we use your personal Information
  6. Data portability (have your data transferred to another Authority)
  7. Question decisions made about you by a computer
  8. Complain to the Information Commissioner’s Office ( information below)

Withdrawal of Consent

Where personal data is processed on the basis of consent, you will have the right to withdraw that consent. However Coventry City Council process personal data that it is necessary to do so in order to comply with our legal obligations and to enable us to perform tasks carried out in the public interest. 

Complaints

You have the right to submit a complaint if you are unhappy with the way your request is handled or disagree with a decision made by the council regarding your data. In these circumstances you can contact the Data Protection Team (DPO) and request a review of the decision. DPOTeam@coventry.gov.uk
