Why we collect and use Personal Data about you
We collect and hold your personal information when you sign up for the Our Coventry programme so that we can provide you with services to help you settle and integrate into Coventry.
We need to gather the information provided services to migrants who’ve arrived in Coventry through British National Overseas, Ukrainian, Resettlement, Asylum and other routes.
We use this information to:
- Allow Coventry City Council Migration Team and its partners to fulfil its task of integration services and support
- Decide who is eligible to take part and be supported in the project
- Provide you with services you need to aid your integration into Coventry
- Match your needs with project activities and offer further advice and guidance
- Help us to develop and improve our services
- Publicity, advertising and social media promotion (if you have provided consent for this)
- Help to commission new services
Our lawful basis for processing is consent.
What information do we collect about you?
We collect the following information:
- Full name(s)
- Contact details i.e. name, address, email address.
- Place, date of birth and age
- Gender
- Nationality
- Country of birth
- Immigration status
- Passport/BRP/ARC card number
- National Insurance number
- Next of kin/emergency contact
We also collect the following information from you to help us provide you with the services you need:
- Start date of involvement with programme
- End date of involvement with programme
- Languages spoken
- Language skills and abilities including ESOL/English level
- Referral source
- Highest level of educational/work-related qualification
- Employment status and employment plans
- General updates on engagement across the project
- Basic health information

- Employment & Skills Service, Coventry City Council (The Job Shop)
- Other Coventry City Council departments
How long will we keep your information?
We will only keep your information for as long as we need to so we can give you the service you need unless we must keep it for legal reasons.
We will keep this information for two years after the programme has ended.
Your rights
You have the right to:
- Ask to see the personal information we hold about you.
- Withdraw consent (see below).
- Ask us to change information we hold about you if it is wrong.
- Ask us to delete the information we hold about you.
- Ask us to limit the way we use your personal Information.
- Data portability (have your data transferred to another authority)
- Complain to the Information Commissioner’s Office.

Withdrawal of consent
Where personal data is processed based on consent, you will have the right to withdraw that consent. However, Coventry City Council processes personal data when it is necessary to do so to comply with our legal obligations and to enable us to perform tasks carried out in the public interest.

Complaints
You have the right to submit a complaint if you are unhappy with the way your personal information is handled or disagree with a decision made by the council regarding your data.
