Why we collect and use Personal Data about you

We collect and hold personal information when you register your interest in joining our Resident Research Volunteer Group.

We will use this information to:

  • Contact you for suitable user research activities that aims to improve and develop our services

We process personal data because it is necessary to comply with our legal obligations and our lawful basis is Consent.   

What information will we collect about you?

  • Name
  • Contact details: email address and/or telephone number

As part of the research activities that you volunteer for (interviews, usability test, surveys, focus group, co-creation workshop etc.), we may then want to collect some optional data, and you can choose not to provide it:

  • Age group
  • Gender
  • Ethnicity
  • Postcode
  • Education
  • Employment status
  • Income
  • Marital status
  • Living situation

Your personal information will be held unless you choose to opt out of the resident research volunteer group.

Who we share your Personal Data with

The personal data provided will be used to arrange and manage user research sessions. It will only be accessed by the Resident Experience Team. Feedback gathered in user research activities may be shared with our council service areas. It will always be summarised as group feedback or individuals will be unnamed (anonymised). You will not be identified in any research results.

How long will we keep your information?

We will keep your information for as long as you are willing to be in the resident volunteer group for any future user research activities.

Your rights

You have the right to:

  1. Ask to see the personal information we hold about you
  2. Ask us to change information we hold about you if it is wrong
  3. Withdraw consent at any time
  4. Ask us to limit the way we use your personal Information
  5. Complain to the Information Commissioner’s Office

Withdrawal of consent

Where personal data is processed based on consent, you will have the right to withdraw that consent. However, Coventry City Council processes personal data when it is necessary to do so to comply with our legal obligations and to enable us to perform tasks carried out in the public interest.

Complaints

You have the right to submit a complaint if you are unhappy with the way your request is handled or disagree with a decision made by the council regarding your data. In these circumstances you can contact the Data Protection Team (DPO) and request a review of the decision DPOTeam@coventry.gov.uk
